Q - My lists have gotten a little out of control with numerous duplicates. How do you recommend I clean up the chart of accounts and vendor lists?
A - The easiest way to clean up the lists is to edit the one you once to get rid of and change the name (or account number) to match the one you want to keep. This process does require single user mode. Once you make the change, when you save it, a message will appear that confirms that you want to merge the two names together. Acknowledge the warning and all the transactions will be merged together with the new name. To see what has been edited or merged, the easiest way is with the Accountant Edition is to use the Client Data Review to see the list changes.
For the vendor list, the merge process is the same as above. If the duplicates are the result of downloading bank transactions, the most current versions have the concept of renaming rules. For older versions it was a more cumbersome "alias" concept. For the more current versions, first merge the duplicates, then there is a link to the renaming rules list in the upper right of the Banking > Online Banking Center screen for review of the rules that have already been set up. Then within the matching window, if the payee name is changed, a pop up box will appear stating that "All future downloaded transactions from this downloaded payee will be automatically renamed." Once the renaming rull has been created, it is possible to edit it. For example, "Office Depot 1234" can have a renaming rule so that it will be renamed to "Office Depot." Then that rule can be modified to contains, begins with, ends with or exactly matches a specific name. From the renaming rules screen it is also possible to remove a rule.
